The accounting/Executive assistant will be responsible for supporting our accounting department and assisting our executive team with various administrative tasks. The ideal candidate will have a minimum of 5 years of experience using Sage (Simply) accounting software and will be highly organized with excellent attention to detail.
- Accounting Support:
Utilize Sage (Simply) accounting software to manage financial transactions, including accounts payable and accounts receivable.
Prepare and maintain accurate financial records, including invoices, receipts, and expense reports.
Reconcile bank statements and assist in the preparation of financial reports.
Assist with payroll processing and ensure compliance with tax regulations.
Collaborate with the accounting team to maintain organized and efficient financial processes.
- Administrative Assistance:
Provide high-level administrative support to the executive team, including scheduling meetings, managing calendars, and handling correspondence.
Assist with travel arrangements, expense reporting, and other executive-level tasks.
Organize and maintain digital and physical files and records.
Coordinate and prepare materials for meetings, presentations, and reports.
Handling incoming calls and inquiries, directing them to the appropriate department or individual.
- Data Management and Analysis:
Prepare financial statements and reports as required by management.
Analyze financial data to identify trends, discrepancies, and opportunities for improvement.
Assist in budget preparation and tracking.
Maintain confidentiality and security of sensitive financial and company information.
- Communication and Collaboration:
Collaborate effectively with colleagues across department to ensure smooth operations.
Communicate with vendors, clients, and other stakeholders professionally and courteously.
Assist with any other tasks and projects as directed by the accounting manager or executive team.
Minimum of 5 years of experience using Sage (Simply) accounting software.
Proven experience in accounting and financial management.
Strong organizational skills and exceptional attention to detail.
Proficiency in Microsoft Office Suite, particularly Excel and Word.
Excellent communication and interpersonal skills.
Ability to prioritize and manage multiple tasks efficiently.
High level of professionalism and discretion.
Bachelor’s degree in accounting, finance, or a related field (preferred but no required).
